Hello Bella Terra. Winter is upon us and the board is hard at work. First things first, the board wants to thank Nick Utley for helping with the entrances. Nick was able to trouble shoot and fix the broken coach light, as well as, label the power panel at the front! Also, special thanks to Erica Carr and the social committee for the fall festival. Great job everyone!

The HOA board has transitioned and we are pressing ahead. See update below.

Delinquent Member Dues and Assessments:

The board has been on a mission to clean up our outstanding balances and we are happy to report we have made significant progress in a very short amount of time. Upon review, it was found that aged balances were not carrying interest. This has been corrected and will be reflected in December Financials. Going forward our Neighborhood Services Company will be keeping a diligent eye on this to ensure accuracy.

In just a few short months we have managed to collect over half the outstanding balances. To give you an idea, the balance was showing $54,000 outstanding, and at this time we are estimating that total around $20,000!

We want to remind everyone that the HOA is a business and collections of funds are very important to prioritize projects that need to be done. For the few that are carrying a high balance, the board will be meeting with a collection attorney in the coming weeks to review options. Our goal is $0 for our aged owner balance. Speeding:

We still have a lot of people that drive to fast in the neighborhood. The Speed Limit is 17 mph! Please be careful and slow down! There are a lot of reports of tailgating to the board. To the handful of “wanna be” Nascar drivers….SLOW YOUR ROLL! If this continues we will look to add additional stop signs.

Other Projects that are being researched:

  • WIFI capability at the pool house. (Protected and secure guest network)
  • Sodding West side of pool house and adding drainage runoff chute.
  • Cleaning the drainage ditch between the playground and soccer fields. Minimize obstructions of flow. •
  • Refurbishing the bridge to the soccer field and minor support fix.
  • Adding rip rap to stabilize behind the pool house and drainage ditch. (Protect the wall from erosion)
  • Adding new soccer nets for the goals.
  • Redoing the entrance signs to include LED backlighting that changes colors by command. (Christmas colors, bedlam colors, spring colors etc)
  • Adding additional power outlets at the entrances. Would allow us the ability to plug Christmas lights in etc.
  • Redoing the entrance landscaping. Possibly adding fescue in parts of the entrances that receive poor sunlight.
  • Signs when pulling out of the neighborhood for upcoming events. (Fall Festival, HOA meeting etc.)
  • Expanding the NextDoor app capabilities or designing a new web page to allow for online polling etc..

Bella Terra Fall Festival November 5th

We’re so excited for the upcoming neighborhood Fall Festival. We hope you will join us with your families at the playground Sunday, November 5 from 2 – 4 p.m.

We’ll have inflatables, pony rides, face painting, a photo booth and more. We ask that if your last name starts with A-L, that you bring an appetizer or sweet treat to share. If your last name starts with M-Z, please bring a bottle of wine or drinks to share.

Bella Terra Vote Update

The early indications are the fine schedule has been approved along with amending the trash can positioning and research online vote. We are currently awaiting the official recount by a third party. This will help ensure no votes were counted twice. The approval ratio was 98% in favor for the second meeting so we do not anticipate a reversal even if a few duplications are somehow found. We will be uploading the fine schedule to our neighborhood site as well as neighborhoods plus web page. Great news that we have a uniform way to handle violations in the future!

The board appreciates all the comments and feedback from Friday’s meetings as well. Some really good feedback. To date there have been two nominations for the upcoming board positions. Andrew Winningham and Stan Williams have volunteered their services. We will look to have another HOA meeting in early November to either make these official or have an election if other parties are interested. If interested please let the board know ASAP so we can prepare proxies and ballots.

Remember fall festival is around the corner and the social committee has been working hard to prepare!

Update from the Bella Terra HOA Board

Hello Bella Terra, The Board wanted to give a quick update and gentle meeting reminder.

We have a meeting at the pool house THIS Friday (October 13th) from 4:30 – 7pm. Its a come and go style meeting in which the fine schedule is still up for a vote. Please make sure to send your proxies and vote into a board member if you can not attend. If you have voted already your vote will NOT count twice but you can still sign in showing attendance. Also, it should go without saying, but If you are delinquent or owe the neighborhood money, your vote will not count. Please reach out to a board member if you have any questions. The board is HAPPY to pass along that we are currently ZERO balance with the bank on the road project!!! We have paid off the loan early and saved a little of our hard earned money! Again,

Again, a special thanks to everyone who participated in the road project. The Road Committee consisted of Grey Aldridge, Aron Hancock, Chris Lelak, David Johnston, Paul Prater, Justin McCarty, and Matt Wade. Great job guys!

Armor did a great job and thanks to them as well! Our layout and circumstances inherited don’t exactly make for a very easy project. With a job this size, there were very few issues. Matt Wade had a big hand in that as well.

Remember that the road situation will be an ongoing expense from here out and we all have to do our part to stay on contractors coming and going. Unloading heavy equipment is where we are currently seeing some early minor surface damage. If you are having work done that requires the use of heavy equipment please urge the contractors to put some form of barrier down while unloading. (Plywood etc.) Don’t be hesitant to take pictures or videos if you see damage being done. Stay vigilant and with any luck we can get a few years without any major expense!

Remember that the road situation will be an ongoing expense from here out and we all have to do our part to stay on contractors coming and going. From the Board to Bella Terra Residents

The HOA board would like to first thank all the residents. There are a handful of residents that help the board behind the scenes and we are appreciative. There is no way we could do our job without your help!

We just concluded the annual meeting on September 17, 2017. The meeting covered a few updates on the financials, the need for committee members, what we see going forward, and the fine schedule vote after a QA.

Next Meeting:
Due to lack of quorum, we will be holding another meeting October 13th at 5 – 6:30 pm at our Pool House. The reason for the meeting will be two-fold. We have two board member seats up for election and the lack of quorum for the Sept vote.

Board Member Positions:
October will start the first phase of board staggering. As you recall the goal was to stagger positions to ease transitioning and prevent loose ends. The terms are 2 years, so please reach out if you are interested. We need the assistance ASAP.

Notice: Matt Wade will be stepping down as Treasurer. The board wants to thank him for all he has done as the former President and as current Treasurer. Matt the board and the residents thank you for your service!

As these two valuable board members step down, we are pleased to announce they will be active on committees! This will help our neighborhood be more efficient through work delegation and committee empowerment. Thank you and all committee members for making Bella Terra great.

Social: Need a volunteer to head the social committee members.

Landscape Committee: Need volunteers – contact Grey Aldridge in interested.

Website and Communications: filled

Legal Advisors: filled

Our goal is to have all of these committees filled by end of the year going into 2018. We plan on having an org chart posted online with who heads the committee and contact info.

Fine Schedule vote:
To date the schedule is not approved due to lack of quorum at the September meeting. The vote results did show an overwhelming approval ratio! It was 90% for yes to approve and adopt! Since we did not have quorum we will be having another vote and meeting Friday October 13th 5 – 6:30 pm. It will be a come and go style meeting. It will be at the neighborhood pool house. All previous votes and proxies will count towards this vote. If the new quorum number is met and the votes are 2/3 yes off the new quorum requirement, this schedule will approve. For those that voted already and if you have time please come down and sign in. We could still use your help achieving quorum. The board thanks all the residents for the feedback at the meeting. There were good questions asked and we always encourage feedback!

Financials:
Overall we are in ok-shape financially, but we are getting a further behind on our outstanding. At the end of August, we show over $54K in outstanding. Some homes already have liens and others are about to have a lien assessed. The board wants to stress for those that have liens and not paying, we will be meeting with lawyers this fall on foreclose options.

HOA meetings:
In the last few years, the lack of participation in the homeowner’s meetings has slowed considerably. We understand that a lot of members have life obligations such as kid sports, jobs, special events, etc. The board has the same obligations in their homes as well, so we understand, but the lack of participation is stalling progress and process. All the meetings and votes take a considerable amount of time to put together. This time eats into time that could be better suited for running the neighborhood day to day. Please do your part if you can’t make a meeting or a vote, to designate a proxy. All proxies can be submitted to a board member. In the proxy make sure to designate who is voting for your household and ensure they vote.
